    Description
    Role Summary
    • Responsibilities: You will help to support with the running of our Shanghai office, with a focus on creating a friendly and productive working environment
    • Salary: From RMB 8,000 per month. We are able to offer a higher starting salary for more experienced candidates

    About the Role
    Following the exciting launch of our new Shanghai office, we are recruiting for an Office Administrator to support the day-to-day running of the company’s administrative functions as well as providing basic administrative finance support. Alongside the rest of the team, you will uphold our standards of exceptional customer service and you will value the opportunity to support colleagues in a fast-paced and friendly environment.
    You will receive training and mentorship from experienced colleagues in the global Operations team. You will have ample opportunity to make the role your own and help drive the development of the office. As the Shanghai team continues to grow, progression opportunities could see you taking on greater control of office management or specialising in an area of our business operations.
    Key responsibilities will include:
    General office management and administrative duties
    • Ordering and maintaining of essential office supplies such as snacks and stationery
    • Upkeeping of office plants such as watering and fertilising
    • Building relationships with service providers and suppliers as well as liaising with the building’s management team
    • Processing incoming and outgoing mail, photocopying, scanning and filing
    • Arranging domestic and international shipments
    • Organising cabinets and upkeeping of furniture and fittings
    • Managing the office lease agreement and overseeing the renewal process, including sourcing for new office space
    • Organising and assisting with any form of office move or renovations
    • Making purchases for the office and processing expenses
    • Document management, including printing and filing documents for signature
    • Onboarding and offboarding support for new starters and leavers
    • Ensuring that we maintain a safe, tidy and professional environment
    • Organising internal events such as office celebrations, social events, recruitment events, visits to our Shanghai office and coordinating onsite interviews. This can include meeting room and/or venue booking, managing registrations and arranging catering
    • Supporting with the arrangements for international and national travel for the colleagues based in the Shanghai office. This may include conducting research, purchasing tickets and preparing travel documentation such as visas, boarding passes and itineraries to ensure a smooth travel experience
    • Continually and proactively looking for ways we can improve our processes and reduce the administrative burden faced by our colleagues
    • Responding to personal and ad-hoc administrative tasks, as well as supporting the wider Shanghai office or global Operations team where required
    IT duties
    • Purchasing and management of IT equipment and stock, including laptops
    • Actioning established IT procedures
    • Maintaining the Series5000 asset management system
    Basic finance support
    • Liaising with our global Finance team and external China accountant
    • Generating e-fapiaos and sending them to clients
    • Managing the office expense tracker and fapiaos
    • Setting up of payments

    Essential requirements for the role are:
    • Strong organisational skills including the ability to plan and prioritise your own time and communicate this to others
    • The ability to work confidently on your own and with a high degree of autonomy
    • An exceptional written and spoken fluency in Mandarin (equivalent to native Mandarin language skills) and basic business-level English
    • A dedication to providing excellent customer service
    • A friendly and approachable demeanour
    • Excellent levels of productivity, and the flexibility to respond to changing deadlines
    • Experience using Microsoft Office
    • Exceptional attention to detail and high professional standards
    Experience as an Office Administrator in a related role is highly desirable, but we are also able to accept applications from candidates looking to start their career as an Office Administrator. Candidates with finance experience would also be desirable but not essential.

    The Recruitment Process
    Our recruitment process includes a telephone interview with a member of the Talent Acquisition team, as well as an assessment for you to complete in your own time. If successful, you will be invited to an interview with senior members of our APAC offices. Our standard recruitment process lasts around 1 month however, this can be adapted if necessary.
    We are currently recruiting for start dates throughout 2023. Additional start dates may also be available and you will be asked to state your availability on your application form.     • A starting salary of RMB 8,000 per month. However we may be able to offer a higher starting salary for more experienced candidates. Salary increases are typically awarded annually and again on promotion
